Procurement & Purchasing Coordinator

We are Cococo Chocolatiers Inc., a Calgary-based confectionery manufacturer and retailer. We are a brand-based, outward-looking business that is both a market leader and a change promoter.  We own and operate a network of chocolate shops selling products under the brand name, Chocolaterie Bernard Callebaut, and we also own, create, and manage other brands and products, too.   We are looking for a dynamic and passionate individual to join our team in the role of Procurement & Purchasing Coordinator.

Reporting to the Senior Accountant, the Procurement & Purchasing Coordinator identifies and qualifies all vendors, and manages all procurement and purchasing activities, for the company.  This is a service role with several distinct internal clients.  Fundamentally the work is data driven and interacts directly with inventories and costings.  The position requires the astute management and coordination of deadlines and schedules to help ensure smooth production and on-time launches.

Our name, Cococo, is pronounced the way that Santa Claus would say it (Ho Ho Ho / Co co co), and each syllable in our name means something important.  The first Co means cocoa.  Our business is all about chocolate, and there is no chocolate without sustainably sourced cocoa; we do not compromise on sustainability, ever.  The second co means confectionery.  Above all, we are expert manufacturing confectioners, whose work aims to create the best tastes, finely and smartly presented, in just the right sizes'because life should sparkle and there is no time, or occasion, to waste.  The third co means community.  We value belonging, whether that means thinking of ourselves first and foremost as a team, working purposefully with local partners and contributing to local charities, or working internationally to promote sustainability.

So that is who we are.  Who are you?

You are someone who knows how to procure goods and services professionally.  You are inquisitive and can search broadly and effectively across many channels for vendors and supplies, you can critically analyze sales quotations, and you can negotiate terms. You understand how to qualify a vendor.

You are organized and can proactively both build and manage a purchasing system.  You are a planner.  You measure success by ensuring that the business has what it needs (plus a margin for error that you help define) at all times.  You keep good files and can track quotations, contracts, and price lists.

You enjoy having inventory responsibilities.  You are not comfortable unless you know where everything is kept (especially if there are multiple inventory locations) and what the par quantities should be.  You do a happy dance when inventories reconcile.  FIFO is not (just) the name of your dog.  You like to help budget.

You understand that "cost" means "landed cost".  You are comfortable helping to coordinate and to analyze shipping/receiving and customs/excise functions and data.

You can work effectively with different internal customers.  You know that some customers require food ingredients; some require packaging consumables; some require innovative retail packaging that doesn't yet exist; some require marketing materials or print services; some require office or building supplies; some require shipping services; some require building-maintenance or other services.  You understand that all of these wants and needs are part of a single integrated whole.

You bring a sense of closure to the tasks you undertake.  You search for solutions, call for bids and quotations, thoroughly analyze what you receive, go back to the drawing board when you must, and ultimately report to your internal customer with clear summarized information and specific recommendations.  You can complete effective purchase orders.

You can issue requests for quotations which are comprehensive and accurate the first time around.  You make sure that you understand your customer's exact needs and wants before you begin.

You understand that procurement and purchasing are not just about finding the best price(s), but also about relationships, risks, and reputation.

You are a proficient user of Microsoft office products (Excel, Word, Outlook).  You are proficient with online tools, too, especially search engines.  Ideally you have experience working directly with one or more accounting systems, and, in any event, you are confident about your ability to be trained in required accounting systems and protocols.

You are creative, at least in the sense that you can work effectively with creative types to innovate solutions and help bring creative projects to the finish line.

You communicate well and enjoy doing so.  You are well spoken and you are a competent writer. 

You provide good customer service to internal clients and are a professional representative of the business when dealing with all third parties.

You abide by rules but also drive toward continual improvement, which means you think critically at all times and provide feedback on existing policies and procedures when necessary.

You like to feel that you work best as part of a team.  You recognize success in others; you like to cheer when you can.  You know how and when to report problems; you blow whistles if you have to.

You prefer to be proactive and to build systems that prevent problems, but you live in the real world and know that sometimes'especially at first'your work will involve fixing things that have been left broken by others.  You feel satisfied more than frustrated when you fix problems.

You ideally have:

  • 3+ years of related procurement, purchasing, or direct supply chain experience.
  • Relevant post-secondary education.
  • Obtained or are in the process of obtaining a relevant certification (e.g. a Supply Management Diploma, Supply Chain Management Professional (SCMP) designation).
  • Good fluency in basic business math (margins, markups; income statements; metrics).
  • Experience working with food safety and quality control systems (GMP (Good Manufacturing Practices), GFSI (Global Food Safety Initiative), HACCP (hazard analysis critical control points), BRC (British Retail Consortium), etc.).
